Sport Marketing Solutions Ltd — Terms of Service Last updated: June 2026

1. The Parties

These terms constitute a legally binding agreement between you (the "Sponsor") and Sport Marketing Solutions Ltd, registered in England and Wales (Companies House number: 17309509), registered address: Lytchett House, 13 Freeland Park, Wareham, Poole, BH16 6FA ("we", "us", "our").

Sport Marketing Solutions Ltd operates in collaboration with Welwyn Garden City F.C. and The Padel House Club Limited in the delivery of pitch-side advertising services at the Herns Lane site, Welwyn Garden City.

2. What You Are Purchasing

By purchasing a sponsorship package, you are securing the right to have your artwork displayed on a pitch-side advertising board at the Herns Lane site for the duration of the specified football season, as described in your chosen package.

Advertising boards remain the physical property of The Padel House Club Limited at all times. No ownership of any physical asset is transferred to the Sponsor.

Season ticket inclusions, where stated, are provided in collaboration with Welwyn Garden City F.C.

3. Order Process

You are required to upload your logo/artwork file in vector PDF format prior to completing payment. By proceeding to payment, you confirm that:

  • You have submitted your artwork
  • You hold all necessary rights to the logo, images, and brand assets submitted
  • You consent to your artwork being forwarded to our appointed signage company solely for the purpose of board production

4. Sponsor Obligations

  • Artwork must meet the specification guidelines provided at the time of purchase
  • You are responsible for ensuring your artwork is submitted in the correct format
  • Late or non-compliant artwork submissions may result in delayed board placement — no refund will be issued in these circumstances
  • You must not submit artwork that infringes any third-party intellectual property rights

5. Zone and Position Preferences

Where a zone preference is selected during the purchase process, this represents a preference only and does not constitute a guarantee of placement in that zone or at any specific position within it.

Sport Marketing Solutions Ltd will endeavour to accommodate your zone preference to the best of its ability. However, board placement is subject to availability and operational constraints at the Herns Lane site.

In the event that your selected zone preference cannot be fulfilled, we will endeavour to contact you and offer the closest available alternative. This may include a mirrored position on the opposite side of the pitch in order to maintain a comparable location relative to your preference.

By completing your purchase, you acknowledge and accept that zone and position preferences are accommodated on a best-endeavours basis only and do not form part of the contractual guarantee.

6. Artwork and Logo Changes

Once your artwork has been submitted and your advertising board produced, no logo or artwork changes can be made during the active season. Your board will display the artwork submitted at the time of purchase for the full duration of the season.

If you choose to renew your sponsorship for a subsequent season and wish to update your artwork, a reproduction fee will be payable to cover the cost of reprinting. You will be notified of the applicable fee at the time of renewal.

7. Board Reprinting

Advertising boards have a standard lifespan of two seasons. To maintain the highest quality standards, boards will be reprinted at the start of every second season regardless of their visible condition. A reprinting fee will apply at this point. You will be notified of this charge in advance of the relevant renewal period.

Where a Sponsor renews their sponsorship for a consecutive second season, no reprinting fee will be charged, as the same board remains in use for that season. The reprinting fee becomes applicable upon renewal into a third season or any subsequent even-numbered season.

8. Season 1 Loyalty Discount

2026 is designated as Season 1 for wgcfcmedia.co.uk advertising purposes. Any business that enters into a sponsorship agreement with Sport Marketing Solutions Ltd during Season 1 will be entitled to a 50% discount on their Season 2 advertising package, provided they choose to continue without a seasonal gap.

This discount is non-transferable and applies to the same advertising package or equivalent. It cannot be combined with any other offer or promotion.

9. Seasonal Advertising Gap

If a Sponsor does not renew their sponsorship for a subsequent season, their Season 1 loyalty discount will be forfeited. Should they choose to advertise in a future season, their package will be priced at the full rate applicable at that time.

10. Our Obligations

  • We will arrange production and placement of your advertising board at the agreed location at the Herns Lane site
  • We will provide photographic confirmation of board placement
  • We will honour any season ticket inclusions as stated in your package
  • We will notify you promptly if any issue arises affecting board placement

11. Payment

All payments are processed securely through Shopify Payments. Full payment is required at the time of purchase. A VAT invoice will be issued by Sport Marketing Solutions Ltd upon request.

12. Liability

Sport Marketing Solutions Ltd's liability to the Sponsor is limited to the value of the sponsorship package purchased. We are not liable for any indirect, consequential, or economic losses arising from your sponsorship.

We are not liable for any damage to or loss of advertising boards, which remain the property and responsibility of The Padel House Club Limited.

13. Intellectual Property

By submitting your artwork, you grant Sport Marketing Solutions Ltd and The Padel House Club Limited a non-exclusive licence to reproduce your artwork solely for the purpose of producing and displaying your advertising board during the sponsorship season.

14. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Changes to These Terms

We reserve the right to update these terms at any time. Any changes will be published on this page with an updated date. Continued use of our store constitutes acceptance of the revised terms.
